  • Venue selection

    With hundreds of spectacular venues to choose from, it can be overwhelming to find the best fit for you. With White Heather you can avoid the endless emails, video calls and visits that come with 'going it alone'. We will come up with a shortlist of recommendations for you, based on your vision, personalities, requirements and budget. We can bring to life how your event could work with each option, the pros and cons and the true cost, including extras that are not always included in the venue hire price. Venues can’t buy their way onto our preferred list, and each one we recommend has been vetted by us for their quality, value, uniqueness and service.

  • Accommodation & travel arrangements

    Accommodation and travel requirements are completely different for every event, but at White Heather, we can help - no matter how complicated the arrangements might be. Perhaps you and your guests will need to move from one place to another. Maybe your venue cannot accommodate all your guests overnight and you need to find other options or put on group transport. Perhaps you have guests travelling internationally who’ll need help with a longer stay. Maybe some guests have specific accessibility needs that must be taken into account. Or you want the journey to your event to be a unique experience in itself – by seaplane, helicopter or sleeper train.


    With White Heather’s directory of offsite accommodation and transport providers, we have all bases covered. 


  • Design & styling

    Clients often tell us that they freeze when asked what the theme, style or colour scheme of their wedding or event will be. We can help you avoid hours of Pinterest scrolling, with our handy event styling guide which will help you narrow down your options quickly. We will create a tailored mood board that can then be shared with furniture and prop hire companies, florists, cake makers, dressmakers and stationery designers. Working together with these suppliers we’ll creatively introduce small, personalised touches, that make the design uniquely yours.

  • Food & drink sourcing

    Food and drink are at the heart of wonderful Scottish hospitality, and our selection of catering partners offer a wide range of cuisines. We work with them because they love a challenge, and together we can come up with highly personalised menus. For one tropical themed birthday party we even shared a client’s family recipe for Caribbean curry with our catering partner which they brought to life brilliantly – you can’t get more personalised than that!


    If you need support with wine pairing, our WSET trained planners can make recommendations for you. If you need help pulling together a fantastic cocktail list or sourcing local craft beers we have lots of ideas for you.   • Activity & entertainment selection

    Scotland has endless musical entertainment options – from traditional pipers, fiddlers, accordion and clarsach players to contemporary bands and solo artists. Whether you want your guests to experience the atmosphere of a Highland ceilidh or have a charismatic DJ taking requests from the dancefloor, our little black book of entertainers is at your disposal. Magicians, artists, mediums, storytellers are all available to make your event one to remember and we’ve helped bring to life the most unusual ideas! 


    Depending on the nature of your event, Scotland is the perfect place for so many indoor and outdoor activities – whisky or gin tasting by cosy log fires, murder mystery nights, Highland Games, falconry, archery, kayaking, wild swimming – the list goes on!! White Heather’s creative and passionate team can help you create truly unforgettable entertainment!


  • Supplier sourcing & contracting

    As well as your venue, catering and entertainment, you will inevitably need to find a range of other suppliers to provide the necessary products and services that will make your event extraordinary. Depending on the nature of the occasion these could include: furniture and prop hire companies, florists, stationery providers or printers, tailors or dress-makers, celebrants, master of ceremonies, cake and favour suppliers, hair and makeup artists, photographers and videographers, key note speakers, facilitators and much more.


    It is critical that you have appropriate contractual arrangements in place with all suppliers to protect you and them – our professional experience makes us well placed to ensure this is handled properly.


  • Payment & administrative services

    With most weddings and events having at least ten suppliers, each with different deposit requirements and payment schedules, it can be easy to lose track. White Heather can make it easy for you by managing payments for your wedding through a dedicated and ringfenced client account. We will send you monthly reports and receipts, so you know where you are in relation to your budget. 


    For weddings, certain administrative tasks are legally required in the months leading up to your wedding – White Heather will keep you on track.


    We know that our clients are often extremely busy and it can be hard to liaise with suppliers during normal working hours – we can help set up appointments in evenings and weekends for any important meetings, whether in person or virtual. If you have a Personal Assistant, we can liaise with them to make the experience completely seamless for you.


  • Guest list management

    Managing a guest list and individual guest requirements can be very time consuming and dynamic. In the run up to any event, there are always last-minute changes to contend with and your caterers and other suppliers need you to stay completely on top of this to enable them to do their job well. Whether you prefer digital or paper-based options, we can take care of save the dates, invitations, chasers, RSVPs, menu choices, special requirements and gift lists / thank yous. 

  • Space planning

    It’s really important to ensure that the space you’ve hired is going to work well for your event. This isn’t something easily gauged by eye on a venue visit. At White Heather, we are sticklers for the detail and spatial planning is no exception. We’ll work up “to scale” plans of your space and furniture layout, so you can be confident in how it will look and feel. We’ll think about any reconfiguring of the space that might be needed at different stages of the event and what that means for where your guests will be at different points. We’ll come up with the best table arrangements and, under your guidance, produce table and seating plans.

  • Logistics planning

    A successful and fabulous event requires the co-ordination of multiple suppliers and activities before, during and after the event. For example, timing deliveries of food and drink to a site must match up with availability of fridge space, furniture must be in place before spaces are dressed with flowers and décor. We have the experience to make sure the pieces fall into place at exactly the right time, leaving nothing to chance. We’ll create a detailed logistics plan for the set-up and take-down of your event, as well as the event itself. We’ll work with suppliers to make sure they operate in line with the plan so it all runs like clockwork. 

  • Full itinerary planning

    Precision planning is essential for ensuring we are really creating something that is in line with your expectations, and also for making sure that things run as smoothly as possible. We will map out an hour-by-hour plan of the ‘who, what, where and when’ activities of suppliers, clients, guests and of course, the White Heather team. This is reviewed step-by-step with each supplier, and everyone receives a copy to keep them on track.


    For weddings, this includes the all-important planning of the ceremony. We help couples create truly personalised ceremonies with music, readings, vows and other individual touches that really speak to who they are and their love story.


    For businesses, 20 years’ experience working in large Corporates makes us uniquely well-placed to understand the objectives of your event or off-site, and partner with you to plan an agenda to deliver against that, whilst keeping your guests and delegates engaged.


  • Risk and contingency planning

    Nobody planning a wedding or special event wants to think about things going wrong. But as dull as it might sound, every White Heather event has a risk and contingency plan – something we believe is critical to making every event a success. By stepping through the things that could go wrong, we get a better understanding of our clients’ priorities and can agree up front how we will manage any bumps in the road. This way, when the event arrives, we don’t need to bother you with any issues – you can sit back and let us work our magic to solve any problems we might encounter. Thinking about what could go wrong can also help us line up contingency plans that will mean the event remains fantastic, no matter what.

  • End-to-end Event management

    Reliable event management doesn’t just involve turning up on the day, which is exactly what many planners offering “on the day co-ordination” will do. 


    We will oversee the set-up of the event in the day(s) prior and run rehearsal(s) to make sure everyone with a key role is ready and confident in what they need to do. On the day(s) of the wedding or event itself, our team will be there for you the entire time, for complete reassurance. We constantly manage back to the detailed plan we made with you and check that everything is happening at the right time, to the right standard. Where issues arise, we solve them so you don’t have to think about them. Because we have got to understand your vision so well, we make little tweaks that others might not even notice, but that make a real difference to your experience.


    We won’t forget the aftercare either – venues usually require their customers to ensure décor and flowers are removed and there’s almost always lost property to be reunited with its owners. Where furniture has been hired, someone needs to make sure everything is returned properly to avoid any issues with security deposits or damage clauses.
